BOQ to Scope Conversion
In certain situations, client BOQs are detailed enough that a separate Execution Plan and Activities need not be created. The BOQs themselves can be used for execution — scheduling and estimation. JobNext allows users to convert BOQ Items directly into Scopes, eliminating several steps in the standard workflow.
When to Use This Shortcut
BOQ to Scope conversion is appropriate when:
- The client's BOQ breakdown already matches the contractor's execution plan
- BOQ items are granular enough to serve as individual execution activities
- There is no need for a different organizational structure between client deliverables and execution items
- You want to save time by skipping separate scope creation and linking steps
Standard workflow comparison: The standard workflow requires five steps: Create Job → Add BOQs → Define Scopes → Link Scopes to BOQs → Estimate. With BOQ to Scope conversion, you reduce this to: Create Job → Add BOQs → Convert to Scopes → Estimate.
What Gets Eliminated
Direct conversion eliminates the need to:
| Eliminated Step | Standard Workflow Effort |
|---|---|
| Create Scopes from WBS | Browse WBS template, select activities, copy into job |
| Link Scopes to BOQs | Map each scope to its corresponding BOQ item, set conversion factors |
How It Works
When you convert BOQ items to scopes:
- Navigate to the Job and access the BOQ section
- Select the BOQ items to convert
- Use the Convert to Scope function
- Each selected BOQ item becomes a Scope with the same description and quantities
- The system automatically creates the link between the new Scope and its source BOQ
- Proceed directly to estimation for the newly created scopes
Time savings: This shortcut is especially valuable for jobs with many BOQ items where the client's breakdown is already well-structured. It can reduce project setup time from hours to minutes by eliminating manual scope creation and linking.
Standard Workflow vs Shortcut
| Aspect | Standard Workflow | BOQ to Scope Shortcut |
|---|---|---|
| Steps required | 5 steps | 3 steps (2 eliminated) |
| Scope source | WBS template library | Client BOQ items directly |
| Linking | Manual linking with conversion factors | Automatic (1:1 relationship) |
| Best for | Complex projects where BOQ and execution plans differ | Projects where BOQs match execution activities |
| Flexibility | Full control over scope structure | Limited to BOQ structure |
Consider carefully: Once BOQ items are converted to scopes, the scope structure mirrors the BOQ structure. If you later discover that the execution plan requires a different breakdown, you may need to restructure the scopes manually. Use this shortcut only when you are confident the BOQ breakdown is suitable for execution.
