Key Reports in Detail
Staff Details
The Staff Details report is the most comprehensive workforce report. It consolidates personal information, employment data, department and designation, job/project assignment, and region/division classification into a single output. Use this report for headcount analysis, workforce planning, and audit preparation.
Export Staff Details to Excel for further slicing by cadre, department, or nationality. The report includes all active, on-leave, and separated staff — filter by status to focus on the segment you need.
Leave Balance
The Leave Balance report shows the current balance per employee per leave type (annual, sick, casual, etc.). Three variants are available:
- Leave Balance — Quick summary of current balances
- Leave Balance Detail — Granular breakdown sourced from the HR linked server
- Leave Balance Report — Full view with Opening, Earned, and Used columns per leave type
Use Leave Balance reports at month-end to identify employees with low or zero balances, and cross-reference with Leave History and Leaves Due reports for trend analysis.
Employees Joined & Resigned
These two reports track workforce movement. Employees Joined lists all new hires within a date range, while Resigned Employees lists all separations. Together they provide a clear picture of attrition rates and hiring velocity. Both reports accept date range, region, and division filters.
Payroll Summary (Detailed Payroll Abstract)
The Detailed Payroll Abstract is the primary payroll cost report. It provides a complete breakup of earnings, deductions, and employer contributions grouped by multiple dimensions:
- Employee Group
- Business Unit
- Camp
- Region
- Job/Project
This report uses an optimized stored procedure (version 3) for fast execution even with large payroll datasets. Pair it with the Job wise Salary Allocation report to understand project-level labor costs.
PaySlip
Two payslip reports support salary slip generation:
- PaySlip View Site Wise — Groups payslips by site/job for bulk printing. Uses the Site Wise SubReport (HRAnalytics report #28) as a child report.
- PaySlip View Staff Wise — Generates individual payslips. Each slip includes earnings, deductions, employer contributions, and a leave balance summary.
Payslips display welfare items where show_on_payslip = 1 in the payroll welfare configuration. Items flagged as earnings (Earning = 1) appear in the Earnings section, while items flagged as deductions (Earning = 0) appear in the Deductions section. Employer statutory contributions are shown separately.
ESI, PF & PT Summaries
These three statutory reports pull contribution data using configuration-driven welfare codes:

Document Expiry
The Document Expiry report lists all staff documents that are approaching or have already passed their expiry date. Filter by date range, region, and division to focus on a specific segment. This report is critical for organizations operating in jurisdictions that require valid work permits, trade licenses, or safety certifications.
Run the Document Expiry report weekly. Expired visas, trade licenses, or safety certifications can result in regulatory penalties. Pair this report with Employee Missing Documents to ensure complete compliance coverage.
Common Report Filters
Most HR and Payroll reports share a consistent set of filter parameters. The table below lists the filters you will encounter across the majority of reports.

- Run Document Expiry weekly — Expired documents can lead to regulatory penalties. Set a recurring reminder to check this report every week and action any expiring items at least 30 days before their expiry date.
- Cross-reference attendance and payroll — Run the Attendance Register alongside the Detailed Payroll Abstract at month-end. Verify that working days in the attendance report match the days used for salary calculation.
- Review statutory reports before filing — Generate ESI Summary, PF Summary, and PT Summary before submitting statutory returns. Reconcile the totals against your filing workings to catch discrepancies early.

What is the difference between the three Leave Balance reports?
Leave Balance provides a quick summary of current balances per employee per leave type. Leave Balance Detail sources data from the HR linked server and gives a more granular breakdown. Leave Balance Report is the most comprehensive, showing Opening balance, Earned during the period, and Used during the period for each leave type. Use the summary version for quick checks and the detailed versions for audits and reconciliation.
How do I generate payslips for an entire site at once?
Use the PaySlip View Site Wise report under the PayslipAnalytics folder. Select the salary run month/year, then choose the site or job. The report generates payslips for all staff assigned to that site in a single output, ready for bulk printing. Each payslip is formatted as a separate page.
Why do some statutory reports show zero amounts?
Statutory reports (ESI Summary, PF Summary, PT Summary) are driven by configuration keys in the system configuration table. If the welfare codes referenced by keys like payroll.employeepfwelfarecode or payroll.ptwelfarecode are not set up correctly, the reports will return zero values. Contact your system administrator to verify that the welfare code mappings are correctly configured under Administration → Configurations.
Can I track employees who have not returned from leave?
Yes. The Employees Not Returned From Leave report under HRAnalytics identifies staff whose approved leave return date has passed but who have not checked back in. This report depends on the hr.report.onleavestatus configuration key to determine which status codes define "on leave." Use this report alongside Employees Expected Return From Leave for proactive workforce tracking.
