Key Concepts Overview

Before diving into the individual modules of JobNext, it is important to understand the foundational concepts that underpin the entire system. These concepts are referenced throughout every module and form the vocabulary you will use daily when working with JobNext.

Key Concepts Overview

This section covers eight core concepts. We recommend reading them in order, as later concepts build on earlier ones.

Concept Summary

Concept What It Covers Why It Matters
Jobs & BOQ The Job as the core unit of work; Bill of Quantities structure, fields, and states Every transaction in JobNext is tied to a Job. BOQs define what the client has contracted you to deliver.
Scopes & WBS Execution activities, Work Breakdown Structure hierarchy, WBS Templates, BOQ-to-Scope linking Scopes translate client deliverables (BOQ) into actionable execution activities. The WBS organizes them hierarchically.
Estimates & Budgets Resource estimation for scopes, five resource factors, budget flags, scheduled rates Estimates drive procurement budgets and cost tracking. Without estimates, you cannot control spending.
Organization Structure Business Units, Accounting Centres, Zones, and their impact on access and reporting The organizational hierarchy controls who can see what data and how financial information is grouped.
Parties Customers and Vendors: registration, bank details, GST information You cannot create contracts, purchase orders, or invoices without properly registered parties.
Currencies Job currency, exchange rates, multi-currency transactions Critical for organizations operating across geographies or dealing with international suppliers.
Document Lifecycle Draft, Submitted, Approved, Posted stages; approval workflows; rejection and cancellation Every transactional document follows this lifecycle. Understanding it is essential for daily operations.
Attachments & DMS Document Management System, supported file types, attaching and viewing files Keeps all supporting documents (contracts, drawings, invoices) linked to the relevant records.

How These Concepts Connect

The key concepts in JobNext are deeply interconnected. Here is how they relate to each other:

From Client Requirements to Execution

A Job is created for a specific Customer (Party). The client's requirements are captured as BOQ items. Those BOQ items are linked to Scopes organized in a WBS hierarchy. Each scope gets Estimates that define what resources (materials, labour, machines, subcontractors, overhead) are needed to execute the work.

From Organization to Access Control

The Organization Structure (Business Units, Accounting Centres, Zones) determines which users can access which Jobs and transactions. Vendors are registered at the organization level and can supply materials or services across multiple Jobs.

From Transactions to Financial Records

Every transaction follows the Document Lifecycle from Draft through to Posted. Posted documents generate accounting entries that flow into the Finance module. All transactions are denominated in the Job's Currency with appropriate exchange rate handling.

Supporting Documentation

Throughout the process, Attachments can be added to any record, maintaining a complete audit trail with supporting documents such as signed contracts, delivery challans, measurement sheets, and photographs.

Recommended Reading Order

Read the concept pages in the order listed above. Start with Jobs & BOQ to understand the core unit of work, then move through Scopes & WBS and Estimates to see how work is broken down and budgeted. After that, Organization Structure and Parties explain who does what. Finally, Currencies, Document Lifecycle, and Attachments round out the operational fundamentals.
