Setup / Administration
The Setup/Admin page is the central hub for configuring and managing your JobNext ERP system. From here, administrators can control user accounts, define approval workflows, manage master data, configure system settings, set up security roles, and review system alerts.
To access the Setup/Admin page, click the gear icon located in the top-right corner of any JobNext screen.
Action Buttons
The Setup/Admin page displays six large action buttons, each providing access to a key administrative area:

| Users | Manage user accounts across the system. Add new users, edit existing profiles, assign roles to control access, and reset passwords when employees are locked out or need credential updates. |
| Approvals | Configure approval workflows and routing rules. Define who needs to approve documents such as purchase orders, invoices, and leave requests. Set up multi-level approval sequences and route documents based on job, business unit, or amount thresholds. |
| Configurations | Manage system-wide configuration settings that control how JobNext behaves. This includes general organization settings, module-specific parameters, fiscal year definitions, currency preferences, and integration settings for external systems. |
| Masters | Master data management for the core reference data used throughout the system. Manage business units, zones, departments, designations, cost centers, and other organizational building blocks that underpin transactions and reporting. |
| Roles | Define security roles and permissions that control what each user can see and do within JobNext. Create custom roles, assign process-level access, and manage the mapping between roles and system functions. |
| Alert Log | View system alerts and notification history. Monitor email notifications sent by the system, review alert triggers, and track notification delivery status. Useful for troubleshooting and auditing communication flows. |
Accessing Setup/Admin
- Log in to JobNext with an account that has administrative privileges.
- Look for the gear icon in the top-right corner of the screen.
- Click the gear icon to open the Setup/Admin page.
- Click any of the six action buttons to navigate to the corresponding administration area.
If you are configuring JobNext for the first time, start with Configurations to set up your organization details and system preferences. Then proceed to Masters to define your organizational structure, followed by Roles, Users, Approvals, and finally Alert Log.
The Setup/Admin page is available only to users with the Portal Admin role or equivalent administrative permissions. The gear icon will not be visible to users without the required access level. If you need access, contact your system administrator.
Key Concepts
User Types
JobNext supports three types of user accounts, each with different access levels and purposes:
- Normal Users — Standard system users with full ERP access based on their assigned roles
- HR Self Service Users — Employees who can view their own HR data, submit leave requests, and access payslips
- Vendor Portal Users — External vendors who can respond to RFQs, view PO status, and submit invoices
Access Control Model
JobNext uses a layered access control model:
- Roles determine which screens and functions a user can access
- Job Access determines which projects a user can see and work on
- Business Unit Access determines which organizational units a user belongs to
- Approval Roles determine which documents a user can approve and at what scope
