Fuel & Consumables
Machine consumables — including fuel, spares, lubricants, and other supplies — are tracked through the material issue process in the SCM module. This ensures that consumable costs are properly recorded against the machine and the Job it is allocated to.
Step-by-Step Workflow
Step 1: Navigate to Material Issue
Go to SCM > Material Issue to access the issue interface.
Step 2: Initiate Issue
Click the Issue Material button at the bottom of the screen to begin a new material issue.
Step 3: Select Machine Consumables
From the Issue Type dropdown, select "Machine Consumables". Enter the Job name that contains the stock to be issued.
Step 4: Pick the Machine
Select the specific machine you are issuing the material to and click Save. The system displays the available inventory at the selected Job.
Step 5: Review Stocked Items
Review the Stocked Items section. If the required items do not appear, you may need to search for them, or procure/transfer stock from another Job first.
Step 6: Add Items and Request Approval
Add the desired consumable items with their quantities and click Request Approval to generate an approval request for the Issue Note.
Step 7: Approval and Automatic Processing
Once approved, the system automatically:
- Creates appropriate accounting entries (debiting consumable expense, crediting inventory)
- Reduces stock of the issued materials at the Job location
- Updates the machine's Issue Log for traceability
On approval, the system debits the appropriate expense account (linked to the machine's Job allocation) and credits the inventory account. This ensures consumable costs are tracked against both the machine and the Job.
Returns
Unused consumables can be returned to stock through the Issue Return function in the Material module. This reverses the original issue entries and restores the stock quantity.

Track fuel consumption against odometer or hour-meter readings to calculate efficiency metrics. Unusual consumption patterns may indicate maintenance issues that should be investigated.
