Fleet Management

Fleet Management in JobNext extends the Equipment module to handle vehicle-specific tracking and management. Vehicles follow the same asset lifecycle as other machines but include additional features for fleet operations such as registration tracking, insurance management, and assignment scheduling.

Fleet Inventory

The fleet inventory provides a centralized view of all vehicles in the organization:

Information Description
Vehicle Details Make, model, year, registration number, chassis number
Current Status Active, under maintenance, idle, or disposed
Current Allocation Which Job or site the vehicle is assigned to
Custody Which employee or vendor has operational custody
Insurance Status Policy details, expiry dates, and renewal tracking
Registration Registration validity, permit details, and fitness certificate dates

Vehicle Tracking

Track key operational data for each vehicle:

  • Odometer Readings — Record mileage for each trip or period
  • Fuel Consumption — Track fuel usage and efficiency (km/liter)
  • Maintenance History — Log all service records and repairs
  • Trip Logs — Record trips with start/end locations, distances, and purpose

Assignment and Scheduling

Vehicles can be assigned to Jobs, employees, or specific tasks:

  1. Job Assignment — Allocate vehicles to specific Jobs using the Direct Allocation mechanism
  2. Driver Assignment — Assign designated drivers through the Custody Recording feature
  3. Cost Distribution — Use Percentage Allocation to distribute vehicle operating costs across Jobs
Shared Asset Features

Fleet vehicles use the same allocation, depreciation, and disposal processes as other machines. See Allocation & Transfers, Depreciation, and Disposal for details on these shared workflows.

Compliance Tracking

Monitor compliance deadlines for the entire fleet:

  • Insurance policy renewal dates
  • Vehicle registration and fitness certificate expiry
  • Emission testing schedules
  • Mandatory service intervals
Tip

Set up alerts for upcoming insurance and registration renewals to avoid compliance lapses. Review fleet utilization reports regularly to identify underutilized vehicles that could be redeployed or disposed.
