Allocation & Transfers

JobNext provides two distinct allocation mechanisms for fixed assets, plus custody recording and a structured transfer process for moving machines between Jobs.

Direct Allocation

Direct Allocation tracks the asset's physical location across jobs. It tells JobNext which Job or site the asset is currently assigned to.

  • Functions as the asset's operational home base
  • Only one active direct allocation per period is allowed
  • Must be in place before the machine can be utilized on a Job

Direct Allocation Workflow

  1. Initiate de-allocation from the source Job in Equipment > Machines > Direct Allocation
  2. Create a Movement Order specifying the destination Job
  3. Process sequentially: Request Approval → Dispatch (with date) → Receive (with date)
  4. Verify the updated allocation in the machine's profile

Percentage Allocation

Percentage Allocation distributes the asset's operating expenses across multiple jobs simultaneously. This operates independently from physical location.

  • Covers: depreciation, fuel, maintenance, repairs
  • Percentages must sum to exactly 100%
  • Rows can be toggled between Active and Inactive status
  • Only active allocations count toward the total
Two Allocation Types

Direct Allocation answers "Where is the machine physically?" while Percentage Allocation answers "How should this machine's costs be distributed?" These are independent — a machine can be physically at Job A but have its costs split 60/40 between Job A and Job B.

Custody Recording

Track personnel or vendor responsibility for assets:

  • Assign custody over specific date ranges
  • Does not affect cost distribution
  • Supports accountability and compliance documentation
  • Useful for tracking who is responsible for the asset's condition

When a machine needs to move from one Job to another, follow this 7-step process:

Step Action Details
1 Initiate Transfer Create a Machine Transfer Requisition at the destination Job
2 Approve Request Obtain approval for the transfer requisition
3 Identify Source Locate matching machines and their current Job locations
4 Create Movement Order Generate a movement order for each machine being transferred
5 Approve Movement Secure approval for the movement order
6 Release & Dispatch Release the machine from the source Job with a mandatory dispatch date
7 Receive & Allocate Receive at the destination Job with a mandatory receipt date
Sequential Processing Required

You must process the transfer steps in order: Approve → Dispatch → Receive. Dates are mandatory at each stage. Skipping steps or processing out of order is not permitted.
