HR Masters

HR Masters are the foundational reference data that the entire HR & Payroll module depends on. They define organizational structure (departments, designations, cadres), leave rules, payroll components, and other configuration elements. These masters must be set up before employee records, payroll, attendance, and leave management can function correctly.

Managing Master Records

All master categories follow a consistent pattern:

Viewing Records

  1. Navigate to HR & Payroll → Masters
  2. Click the > arrow on the desired master category
  3. The detail page shows a grid of all records for that master, with searchable and sortable columns

Adding a New Record

  1. Open the master category detail page
  2. Click the Add + button at the bottom of the grid
  3. Fill in the required fields (typically a name/description and a code)
  4. Click Save

Editing a Record

  1. Click the Edit (pencil icon) on the record row
  2. Modify the fields as needed
  3. Click Save

Deleting a Record

  1. Click the Delete (red trash icon) on the record row
  2. Confirm the deletion
Impact of Changing Masters

Master records are referenced by employee records, payroll, leave, attendance, and other modules. Changing or deleting a master record affects all references. For example, renaming a Department will update all employees in that department. Deleting a Designation that is in use may cause errors. Always verify impact before modifying master data.

Best Practices

How to Configure Salary Structure 0:38
  • Set up masters before onboarding — Configure all masters (Cadre, Department, Designation, Leave Types, etc.) before adding employee records
  • Use consistent naming — Follow a naming convention for codes and descriptions to avoid duplicates and confusion
  • Don't delete in-use masters — Instead of deleting, consider marking records as inactive if your configuration supports it
  • Review after organizational changes — When the organization restructures, update Department, Designation, and Cadre masters accordingly
  • Configure Leave Types completely — Set all rules (paid/unpaid, carryover, max limits, eligibility) when creating Leave Types to avoid payroll issues
  • Use Missing Leave Balances utility — Periodically run this to identify and fix employees with missing leave balance entries
