Cash & Bank Management
The Cash & Bank Management sub-module provides centralized control over all cash and bank accounts in your organization. It enables you to monitor account balances, upload and process bank statements, reconcile transactions between your books and bank records, and integrate with external banking platforms for automated payment processing.
Access Cash & Bank Management from Finance > Cash & Bank. The main screen displays a list of all cash and bank ledger accounts with their current balances.
Bank Reconciliation Workflow
Account Management
The account management view provides a consolidated list of all cash and bank ledger accounts configured in the Chart of Accounts. For each account, you can see:
- Account Name — The ledger name as defined in the Chart of Accounts
- Account Code — The 8-character ledger code
- Account Type — Cash or Bank
- Current Balance — The book balance as of the most recent approved voucher
- Bank Name — For bank accounts, the name of the banking institution
- Account Number — The actual bank account number
From this view, you can click on any account to access its Day Book, which shows all transactions recorded against that account in chronological order.
Bank Statement Processing
JobNext allows you to upload bank statements and reconcile them against your book entries to identify discrepancies and ensure accuracy.
Uploading Bank Statements
- Navigate to Finance > Cash & Bank
- Select the bank account for which you want to upload a statement
- Click Upload Statement
- Select the bank statement file (typically in CSV or Excel format)
- Map the columns in your file to the required fields (date, description, debit, credit, balance)
- Click Process to import the statement entries
Viewing Previous Statements
All previously uploaded statements are stored and accessible from the bank account detail screen. You can view historical statements, check their reconciliation status, and download them for reference.
Reconciliation Workflow
Bank reconciliation is the process of matching entries in your JobNext ledger with corresponding entries in the bank statement. This ensures that your books accurately reflect the actual bank position.
- Navigate to the Statement Details screen for the uploaded bank statement
- For each unmatched statement entry, click the reconciliation icon (checkmark)
- The system opens a search panel showing Ledger Entries from the corresponding bank account
- Search for the matching ledger entry using date, amount, or reference number
- Select the matching entry and mark it as matched
- Repeat for all statement entries until the reconciliation is complete
Start reconciliation with high-value transactions and work your way down. Use the reference number or cheque number as the primary matching criterion. For entries that appear in the bank statement but not in your books (such as bank charges or interest), create manual vouchers to record them before matching.
Netbanking Integration
The Netbanking integration automates the retrieval of bank statements and transaction data directly from your banking platform. When configured, this eliminates the need for manual statement downloads and uploads, keeping your bank data current with minimal effort.
Key Benefits
- Automatic statement retrieval on a scheduled basis
- Reduced manual data entry and associated errors
- Near real-time visibility of bank balances and transactions
- Faster reconciliation through automated transaction import
Razorpay-X Integration
When the Razorpay-X integration is enabled, bank payments to vendors and employees can be uploaded as payouts on the Razorpay-X platform. This provides a streamlined mechanism for processing outgoing payments through a unified banking interface.
Initial Setup
- Navigate to Finance > Masters > Bank Accounts
- Select the bank account to configure and click Edit
- Locate the Razorpay-X configuration section
- Enter the Razorpay-X API credentials (Key ID and Key Secret)
- Configure the payout settings (fund account type, payout mode)
- Save the configuration
Razorpay-X configuration is done once per bank account. After initial setup, all approved bank payment vouchers for that account will be eligible for Razorpay-X payout processing.
Payout Workflow
- Access the Day Book for the configured bank account
- Process payments through normal procedures — pay vendor bills, process salary payments, or create ad-hoc bank payment vouchers
- Submit the resulting bank payment vouchers for approval
- Once approved, the vouchers appear in the Day Book with an upload option
- Upload individual vouchers or select multiple vouchers for bulk upload to Razorpay-X
- Payouts appear on the Razorpay-X platform for processing by the bank
- Payout statuses are automatically updated in JobNext as Razorpay-X processes them
Vendor Bank Setup
For vendor payouts through Razorpay-X, vendor bank details must be configured:
| Field | Description | Where to Configure |
|---|---|---|
| Bank Name | The vendor's bank name | SCM > Vendor Directory > Edit > Payment button |
| Account Number | The vendor's bank account number | |
| IFSC Code | The bank's IFSC code for electronic transfers |
Employee Bank Setup
For salary payouts through Razorpay-X, employee bank details must be configured:
| Field | Description | Where to Configure |
|---|---|---|
| IFSC Code | The employee's bank IFSC code | HR & Payroll > Staff Directory > Salary Tab > Bank Account Details |
| Account Number | The employee's bank account number | |
| Bank Name | The bank name | |
| Account Holder Name | Name as it appears on the bank account |
For employee salary accounts, the "Is Salary A/C" field must be set to true in the employee's bank account details. If this flag is not enabled, the account will not be recognized for salary payout processing through Razorpay-X.
Best Practices
- Reconcile regularly — Perform bank reconciliation at least monthly, preferably fortnightly, to catch discrepancies early
- Upload statements promptly — Upload bank statements as soon as they are available to maintain current records
- Verify vendor bank details — Always verify vendor bank details before processing the first payment to avoid failed transactions
- Use bulk upload for efficiency — When processing multiple payments, use the bulk upload feature in Razorpay-X rather than uploading one at a time
- Monitor payout statuses — Check Razorpay-X payout statuses regularly to identify and resolve any failed or pending payouts
