Stage-wise Billing

Stage-wise Billing is used when BOQ items are subdivided into multiple stages or milestones. Instead of billing based on measured quantities, payment is tied to the completion of predefined stages. Each stage is assigned a percentage of the total BOQ item value, and billing occurs as each stage is completed.

How It Works

  1. Define Stages — Within each BOQ item, create the stages that represent key milestones (e.g., Foundation, Structure, Finishing)
  2. Assign Percentages — Allocate a percentage to each stage. The sum of all stage percentages for a BOQ item must equal exactly 100%
  3. Complete Stages — As work progresses through each stage, mark the stage as complete to trigger billing
  4. Calculate Amount — The billed amount for each stage is calculated as: BOQ Rate x Stage Percentage
Stage Percentages

Stage percentages must always sum to exactly 100% for each BOQ item. The system will validate this when you save the stage configuration. You cannot generate a bill if the percentages do not add up correctly.

When to Use Stage-wise Billing

  • Projects with distinct phases or milestones that are easier to track than quantities
  • Payment schedules aligned with project progression rather than measured work
  • Contract terms that specify milestone-based payment triggers
  • Lump-sum contracts where work is divided into deliverable phases

Setting Up Stages

Step 1: Access BOQ Item

Navigate to the Job's BOQ and select the line item you want to configure for stage-wise billing.

Step 2: Enable Stage Billing

Mark the BOQ item as a Stage BOQ. This enables the stage configuration interface.

Step 3: Define Stages

Add each stage with a descriptive name and its percentage allocation. Verify that the total equals 100%.

Step 4: Record Stage Completion

As each stage is completed on site, mark it as complete in the system. The measurement for that stage is created based on the defined percentage.

Restriction with Monthly Billing

Stage BOQs are not compatible with Monthly Billing. Automated monthly measurements are created only for BOQs that are in CONTRACTED state and are NOT Stage BOQs. If you need recurring billing, use the standard Monthly Billing method instead.
